Your invoice is often the last thing a customer sees before they decide to pay — or put it in the pile. A sloppy, confusing, or incomplete invoice signals that your business isn’t serious, and it gives customers an easy excuse to delay payment. Meanwhile, a clean, professional invoice with all the right details inspires confidence and gets paid faster.

If you’re still creating invoices in a word processor, spreadsheet, or on paper, it’s time to upgrade. iMagic Inventory gives you a full invoicing screen that’s connected to your inventory, your customer records, and your pricing — so creating a professional invoice takes seconds, not minutes.

What Makes an Invoice “Professional”?

A professional invoice includes your business name and contact information, a unique invoice number, the invoice date and due date, an itemised list of products or services with quantities and unit prices, the tax amount clearly shown, and the total owed. It also includes clear payment instructions.

Most importantly, it’s accurate. An invoice with wrong quantities or prices creates disputes, delays payment, and damages trust.

Connecting Invoices to Your Inventory

The biggest advantage of invoicing inside iMagic Inventory is that each line item on an invoice is pulled directly from your inventory list. When you add a product to an invoice, iMagic Inventory auto-fills the description, unit price, and applicable tax settings. There’s no re-typing product names and no risk of accidentally charging the wrong price.

Even better, when you finalise an invoice, iMagic Inventory automatically reduces your on-hand stock quantities. Your inventory stays accurate without any manual adjustments.

Using Quotes to Win Business First

Many sales start with a quote before they become an invoice. iMagic Inventory lets you create a quote using the same screen as an invoice — the process is identical. Once the customer approves, you convert the quote to a full invoice in a single step. No re-keying, no errors. (See our dedicated post on quotes-to-invoices for more detail.)

Finding and Managing Past Invoices

Once invoices start building up, you need a fast way to find them. iMagic Inventory lets you go to View > Invoices to open your full invoice list. You can search by customer name, invoice number, date range, or status. Whether a customer calls about an invoice from six months ago or you need to check whether something was paid, iMagic Inventory gives you instant access.

How to Create a Professional Invoice in iMagic Inventory

  1. In iMagic Inventory, click New Invoice from the main menu to open the invoice screen.
  2. In the customer field, start typing the customer name and select them from the dropdown, or click New Customer to add them on the spot.
  3. Check that the invoice date and due date are correct.
  4. In the line items area, type the first few characters of a product name or scan its barcode. Select the item from the list.
  5. Adjust the quantity if needed. iMagic Inventory fills in the unit price, description, and tax settings automatically from your inventory.
  6. Add additional line items as needed.
  7. Review the subtotal, tax, and total at the bottom of the screen.
  8. Click Save to record the invoice. To print or email it, use the print or email buttons at the top of the screen.
  9. To view all invoices later, go to View > Invoices.

Getting Paid Faster

A clear invoice alone doesn’t guarantee prompt payment, but it removes the friction. Add your payment terms in the notes section (“Payment due within 14 days”), include your bank details or payment link, and send the invoice the same day as the sale. iMagic Inventory lets you email invoices directly from the software, so there’s no excuse for delay.

Professional invoicing is one of the easiest ways to improve your cash flow and your reputation at the same time.
